Our Intake Process from Start to Finish
At ABA Across Environments, we’re a values-driven, trauma-informed ABA provider, which means we approach every step of our process with respect, compassion, and care. From the moment you reach out, our intake process is designed to be supportive and collaborative. We take time to understand you and your child’s unique needs, history, and goals—not just from a clinical perspective, but through a trauma-informed lens that prioritizes emotional safety and trust.

Because of this individualized approach, the intake process may look different for every family. Timelines can vary based on several factors, including insurance requirements, authorization approvals, and our commitment to creating a comprehensive and supportive care plan for your child. Our goal is not to rush, but to begin services in a way that truly supports long-term success for your child and family.
Here's what you can expect form our intake process:

Initial Contact Form – Once we connect, we’ll send you a brief form to better understand your family’s needs, preferred service times, and locations.

Waitlist (if applicable) – If we’re at capacity, we’ll place your family on our waitlist and contact you as soon as we’re ready to move forward.

Referral Request – Our Intake Coordinator will request a referral be sent from your child’s primary care or diagnosing doctor.

Care Navigation Interview – After we receive the referral, we’ll schedule a phone interview to learn more about your child and needs.

Caregiver Support Meeting – After the interview, you'll be connected with our Caregiver Advocate and Support to discuss further needs and support.

Assessment Authorization – We’ll request insurance authorization for an initial assessment. Once approved, we’ll reach out to schedule the assessment with you.

Assessment Day – A BCBA will meet with you to explore your child’s strengths, values, and your family’s goals. An RBT will engage with your child through play to get a sense of their current skill set.

Treatment Plan Development – Following the assessment, the BCBA will create an individualized treatment plan based on clinical findings and your family’s priorities.

Caregiver Review – Before anything is submitted, your BCBA will review the treatment plan with you using a Social Validity Checklist to ensure the goals reflect your values and needs.

Clinical Director Review & Plan Submission – After your review, the plan is sent to our Clinical Director for final review. Once approved, it’s submitted to your insurance for service authorization.

Service Scheduling – Once insurance approval is received, our scheduling team will contact you to build a consistent weekly schedule and provide a start date. At that point, your family officially becomes part of the ABA Across Environments community!
